The short answer

The benches split. Dropbox Sign holds the higher mean on five of seven criteria — signature levels 6.0 to 4.2, identity verification 6.0 to 2.8, evidence and retention 5.2 to 4.3, integration and API 7.0 to 5.5, pricing transparency 4.0 to 3.7 — and six judges lean its way on signature levels, identity verification and integration and API. Zoho Sign takes signing workflow 6.7 to 6.0 (four leans, two ties) and sovereignty 4.5 to 3.8 (five leans to one). Pricing transparency splits two leans to Dropbox Sign and four ties. Weighted totals favour Dropbox Sign on six of six judges, 5.2 to 6.0 against 3.8 to 5.3, yet the attributes list Zoho Sign's data residency as EU only and Dropbox Sign's as US default, while Dropbox Sign's pages name connectors, SDKs and an eID add-on and Zoho Sign's say identity is verified before a qualified signature without naming a method.

Choose Dropbox Sign if

  • You need advanced or qualified signatures with verified signer identity — signature levels run 6.0 to 4.2 and identity verification 6.0 to 2.8, with six judges leaning Dropbox Sign on each.
  • Your developers need embedded signing and a documented API with events, callbacks, official SDK libraries and free test mode — integration and API stands at 7.0 to 5.5, six judges lean Dropbox Sign.
  • You want named third-party connectors — Google Drive, Microsoft Word and HubSpot are the named connectors on Dropbox Sign's pages; Zoho Sign's verdict names no individual third-party connector.
  • Your legal team weighs long-term evidence and retention — evidence and retention reads 5.2 to 4.3, with four judges leaning Dropbox Sign, zero leaning Zoho Sign and two ties.
  • You need a published per-user price before purchase — Dropbox Sign's captured pages price the Standard plan at '€24 EUR / user / mo' and 'Starting at €576 EUR billed yearly'; Zoho Sign's verdict records that its paid plans' prices are not public.

Choose Zoho Sign if

  • Your data must stay in the EU — Zoho Sign's sovereignty attributes list data residency as EU only, against Dropbox Sign's US default, and sovereignty reads 4.5 to 3.8 with five judges leaning Zoho Sign.

  • Your signers must complete documents without creating an account — Zoho Sign's verdict records that signers need no account.
  • You need a European data protection contact and a DPA — Zoho Sign's verdict credits the Utrecht data protection contact, the EU data-centre statement and a DPA on request.

The Integration Engineer

Embeds signing into the company's own portal and archives the result in the DMS. Wants a versioned API with webhooks and a sandbox, every signature level reachable through the API rather than only in the web app, and signed documents exported with their evidence intact.

Criterion by criterion

eIDAS levels & trust services

Dropbox Sign

The eID add-on names Advanced and Qualified Electronic Signatures under eIDAS, with InfoCert and Swisscom as trust service providers, country-specific routes for Denmark, Finland and Belgium plus EvroTrust, and ZertES noted for Swisscom. It rides only on the API Premium plan as an add-on, and we found no public information on a link to the EU Trust List entry, qualified electronic seals, or the signature level being shown in the signed document and audit trail.

Zoho Sign

Qualified signatures issued through a qualified trust service provider are documented on the enterprise plan and AATL-capable certificates on the standard plan, so differentiation by level and plan is real; however the trust service provider itself is not named, and we found no public information on trust-list registration, qualified seals, ZertES coverage or which documents need which level.

Signer identification

Dropbox Sign

SMS code verification is documented down to its API endpoints, and the eID methods are named per country — Danish Mit-ID, Finnish eID, Belgian eID and EvroTrust, which lists accepted identity documents from dozens of countries, with certificates issued through InfoCert. We found no public information distinguishing automated from agent-based identification, on reuse of an identification for later signatures, or on ID-data specific retention; the privacy policy's retention and deletion terms are generic.

Zoho Sign

Recipient authentication and envelope delivery by SMS are listed as plan features, and qualified signing is described as taking place only after the signer's identity has been verified — but the methods, providers and countries behind that check are not described, and we found no public information on retention or deletion of identification data.

Signing workflow & signer experience

Dropbox Sign

Templates with signer roles and field placement, a gallery of over forty, variable signers, decline to sign, signer reassignment and bulk requests with targeted reminders are all documented, and signers need no account. We found no public information on conditional fields, a branded signer experience, signer languages or accessibility.

Zoho Sign

Templates, signing order for several recipients, bulk sending, automatic reminders, approval workflows with custom roles and permissions, branding, and self-service signing links via SignForms are all documented, with signers needing no account; we found no public information on conditional fields, delegation or substitute signers, or signer accessibility.

Evidence, validation & retention

Dropbox Sign

A non-editable audit trail with timestamps and IP addresses is appended to every executed request, carries a PDF hash for tamper checking, and can be returned as its own file — which is what I want for archiving into the DMS — with machine-readable export promised in the privacy policy. We found no public information on PAdES long-term validation, qualified timestamps or an independent validation report, and the terms state access ceases and data may be deleted after 30 days from termination.

Zoho Sign

Audit trails, document timestamps and a blockchain timestamp feature are documented, documents can be imported and exported via cloud storage, and the terms commit to deletion from the active database six months after termination plus three more from backups; the contents of the audit trail and any long-term validation are not described on the captured pages, which is what I need to archive evidence in our DMS.

Integrations & API

Dropbox Sign

This is the strong one for my use case: a documented REST API with events and callbacks, official SDK libraries, a free test mode covering every endpoint, embedded signing through an iFrame library with an embedded testing tool, and the eID parameter putting advanced and qualified signatures on the API itself rather than only in the web app. HubSpot, Google Drive and Microsoft Word connectors are named and an API pricing page exists, but we found no public information on a versioned API with published rate limits, or on DMS or ERP connectors.

Zoho Sign

A REST API for signing and management automation straight from your own apps or websites, webhooks, web and mobile SDKs, an API-only plan and white-label options are all public, so embedded automation is clearly part of the product; we found no public information on a sandbox, API versioning or rate limits, on which signature levels are reachable through the API, and no Microsoft, Google, CRM or DMS connector is named individually.

European sovereignty

Dropbox Sign

Customers outside the US, Canada and Mexico contract with Dropbox International Unlimited Company, a data processing agreement is published, a subprocessor list is linked, and eID certificates come from InfoCert as an EU trust service provider. The terms permit storing customer data outside the customer's country, we found no confirmation of EU storage locations on the vendor's own pages, and data residency appears in the plan comparison without a stated region, while the contracting group is American.

Zoho Sign

The German site states that data is stored in a data centre within the EU, a Dutch group entity in Utrecht appears as the data protection contact, and a GDPR-compliant data processing addendum is available on request; the terms also describe processing in the USA and other countries where Zoho operates, and we found no public information on named data centres, the trust service or identification chain, or a subprocessor list with locations.

Pricing transparency

Dropbox Sign

The Standard plan is priced publicly at €24 EUR / user / mo with €576 EUR billed yearly, a free tier and a thirty-day trial exist, unlimited signature requests are stated for three tiers, and auto-renewal with a thirty-day non-renewal notice and automatic upgrade on overage are in the public terms. The captured pages price only that one plan, and the eID add-on and other add-ons all route to contacting sales, with no per-signature price for advanced or qualified signatures.

Zoho Sign

Envelope limits and main features are listed per plan, prices appear in EUR or GBP, local taxes are stated as additional, and a credit add-on is priced at €0,10 in increments of 500; we found no public information carrying the actual plan prices, and volume discounts, OEM and ISV pricing run through a quote request.
