The short answer

The lean splits by criterion. Miro is ahead on canvas and content (6.3 vs 4.5), facilitation (7.2 vs 5.8), integrations and export (6.8 vs 4.3) and access and administration (7.5 vs 4.8), with six judges leaning Miro and none leaning Conceptboard on each. Conceptboard is ahead on sovereignty (8.0 vs 6.0, six lean Conceptboard) and pricing transparency (6.2 vs 5.5, four lean Conceptboard, two tie). Security and deployment is the open split: three judges lean Miro, three tie. The weighted totals are higher for Miro for the workshop facilitator (6.6 vs 5.3), product team lead (6.8 vs 5.8), M365 admin (7.3 vs 5.6), works-council member (6.6 vs 6.4), public-sector judge (6.4 vs 6.0) and skeptic (6.4 vs 5.8). The verdicts themselves split, too — Miro on sovereignty (5 to 7), Conceptboard on pricing transparency (5 to 7) — and the Conceptboard verdict reports different figures across captured pages for third-country transfers.

Choose Conceptboard if

  • Sovereignty decides the purchase: six judges lean Conceptboard on sovereignty (8.0 vs 6.0), and its verdict rests the score on a German contracting entity, hosting in the Frankfurt region on named IONOS and AWS infrastructure, a published data processing agreement, and ISO 27001, 27017 and 27018.
  • You need an air-gapped deployment: the Conceptboard verdict documents a self-hosted Data Center Edition that runs fully air-gapped.
  • Your procurement wants documented hosting choices in Germany: the verdict names hosting on IONOS and AWS in the Frankfurt region, with IONOS or STACKIT as paid options.
  • You must state your costs up front: four judges lean Conceptboard on pricing transparency, where its verdict records published tiers and concrete free-plan limits — alongside 'additional fee' add-ons and unexplained guest counting.

Choose Miro if

  • Guests must join without accounts: six judges lean Miro on facilitation (7.2 vs 5.8), and its verdict documents joining by QR code or link with no account.
  • Your team needs SAML single sign-on and SCIM provisioning: the verdict has SAML starting on the Business plan, with SCIM provisioning and Enterprise audit-to-SIEM, and six judges lean Miro on access and administration (7.5 vs 4.8).
  • Integration breadth decides the buy: six judges lean Miro on integrations and export (6.8 vs 4.3), though the captured pages give different figures for its integration count (over 160 on one, 250+ on others).
  • You need canvas basics on day one: six judges lean Miro on canvas and content (6.3 vs 4.5), and we found no public information on sticky notes, freehand drawing or connectors in the captured Conceptboard pages.
  • An administrator must be able to block AI outright: the Miro verdict documents this control, and on security and deployment three judges lean Miro with three ties (7.2 vs 6.5).

Read this comparison as one judge. Each weighs the same scores by what they care about.

The Workshop Facilitator

Freelance facilitator and agile coach who runs three to four remote workshops a week for clients from car suppliers to city utilities, most of them with participants who have never used the tool and will not create an account. Builds the board the evening before from their own templates. Needs guests in by link, a timer, anonymous brainstorming, dot voting and a way to pull twenty people to the same frame, and a client who asks where the board is stored before the session starts.

Criterion by criterion

Canvas, templates & content

Conceptboard

A pre-built template library for workshops, meetings and brainstorming, templates that can be adapted to an organisation and saved as team templates, files and documents embedded on the board, presentation sections, and kanban and timelines on the same canvas — that covers my board-building evening before a session. Object limits are stated (100 objects per board on the free plan, unlimited on paid), but we found no public information on drawing or pen input, search across boards, video embeds or any AI clustering or summarising of notes.

Miro

The infinite canvas, sticky notes, frames and 7,000+ templates cover everything I build the evening before a session, and the diagram page (flowcharts, ERDs, UML), the mind-map templates and video/audio walkthroughs embedded on the board go well beyond basics. What holds me back from the top band is that search across boards, tables and kanban on the board, and stated limits for large boards are not described on the pages I read.

Workshop facilitation & participation

Conceptboard

Live moderation, a timer and voting are documented, with a section-to-section presentation walk, the board running inside Teams and Webex meetings, and a genuine accessibility statement audited by Materna in July 2025 under EN 301 549 and BITV 2.0 — partially compliant, with the barriers named. Guests appear only as "temporary access for externals" with no account-free join by link described, and we found no public information on an anonymous or private mode for notes, locking objects, breakout areas or per-session participant limits.

Miro

This is nearly my whole kit list: people join by QR code or link with no installs and no account, there is a timer, dot voting, polls anyone can answer from a phone, a private anonymous mode, Bring Everyone to Me, live reactions and breakout frames, plus presentation mode through frames and locking of sections. The gaps to the next band are real for me: a voting-results export, a session agenda or facilitator panel and a published accessibility report are not described, and the only stated participant figure is Engage activities up to 50 participants on Business and Enterprise.

Integrations, import & export

Conceptboard

More than a few named integrations: Microsoft Teams, Webex, Confluence with boards embedded by iFrame, Jira tickets reflected directly on the board, and file import from Google Drive, Dropbox and OneDrive. Export is described only as the option to "fully export or delete your data" with no formats named, the API appears in the terms solely as "programmatic access (e.g., APIs)", and we found no public information on Slack or Zoom apps, webhooks, import from other whiteboards or an editable export format.

Miro

The REST API, Web SDK, live iFrame embed, a marketplace with private apps and a documented Visio and Lucidchart import give this a real ecosystem, with named Jira, Confluence, Slack and Microsoft 365 integrations. But no page I read names the export formats — only that customers may export their content using the export features in the documentation — and a Jira two-way sync and webhooks are not described, which matters when a client wants the workshop output handed over.

Sharing, permissions & administration

Conceptboard

Access rights can be assigned individually per file, board and project with role-based permissions, guest contributors get temporary external access, SAML 2.0 / OAuth 2.0 single sign-on is offered at an additional fee, and Corporate & Government adds audit logs, admin controls and unlimited storage. We found no public information on SCIM provisioning, domain capture, link sharing with expiry or password, retention rules or legal hold, or how boards transfer when a person leaves.

Miro

SAML single sign-on on Business and Enterprise, SCIM with just-in-time provisioning, company/user/content admin roles, organisation-wide audit logs with SIEM integrations, sensitivity classification and automated retention are all documented, and departing employees lose access immediately. Domain capture, link expiry or password rules on shares, and what happens to a leaver's boards are not described on the captured pages.

Security, AI controls & deployment

Conceptboard

Encryption is stated precisely (TLS 1.2 with 256-bit AES in GCM in transit, AES256 at rest), a bug bounty with automated and manual penetration tests runs with a summary report available on request, and deployment ranges from a dedicated German server to an on-premises Data Center Edition that runs air-gapped on Kubernetes with customer-controlled updates. Data can be exported or deleted automatically or on request, but the captured pages give no deletion period, and we found no public information on customer-managed keys, data loss prevention, AI controls or a works council statement.

Miro

TLS 1.3 in transit and 256-bit AES at rest are stated, encryption keys can sit in the customer's own AWS account as a paid add-on, and AI is genuinely controllable — administrator switch-off, choice of model providers, prompt blocking and AI audit logging — with Anthropic in the United States named as an AI subprocessor and a note that AI features may share limited data with Microsoft. Deletion is promised but without a stated period, and an on-premises or private-cloud edition, what managers can see of individual activity, and a works-council statement are not described.

European sovereignty

Conceptboard

The contracting entity is Conceptboard Cloud Service GmbH in Halle (Saale), registered at Amtsgericht Stendal HRB 29184, under German law, with the whiteboard hosted in Germany on named infrastructure (IONOS and AWS in the Frankfurt region, or STACKIT), a data processing agreement linked in the footer, ISO 27001, 27017 and 27018 stated, and an on-premises edition documented down to fully air-gapped operation on the customer's own servers. Subprocessors are listed by purpose but not all with their locations, and the captured pages give different pictures on third-country transfers — one states none occur while the privacy policy names some third-country website providers under EU standard contractual clauses.

Miro

The contracting entity is RealtimeBoard Inc. dba Miro in San Francisco under California law, with an EU representative in Amsterdam and a Berlin-registered Miro DACH GmbH imprint; boards run on named AWS infrastructure with EU data residency included on every plan, though no page states which region hosts a new account by default. The subprocessor list is published and every provider named on the trust page — AWS, Anthropic, Braze, Gainsight, ElevenLabs — is in the United States, with the published data processing agreement relying on EU Standard Contractual Clauses under Dutch law plus Data Privacy Framework certification, and ISO 27001 and SOC 2 stated. European hosting is available and the chain is transparent, but the contracting party and the named processing chain sit on the US side, so this is the answer I would hand a client who asks where the board is stored: EU possible, US by company.

Pricing transparency

Conceptboard

Tiers are public with per-user prices — Starter at 5€ / user / month from 1 user with monthly or yearly billing, Advanced from 10€ / user / month on a 12-month contract for 10+ users, Corporate & Government from 14€ / user / month on 24 months for 100+ users — and the free plan's limits, VAT treatment, payment methods and cancellation terms are all stated. Single sign-on and IONOS or StackIT hosting are listed only as "additional fee" without amounts, Special Plans are "on request", and how guest contributors are counted is not explained, so a full annual cost cannot be computed from the public pages alone.

Miro

Free is €0, Starter €8/month per member billed yearly, Business €20/month per member billed yearly with 50 AI credits/member/month, Enterprise is "Custom pricing—from 30 members", and the plan matrix even lists MCP calls per day and which items are paid add-ons. But how guests and external participants are counted, the free plan's board limits, prices for the add-ons, and VAT treatment are not stated, so I cannot compute the annual cost of a workshop series with twenty non-account guests.
