The short answer

Collaboard is ahead on canvas and content (6.3 versus 4.5), integrations and export (6.0 versus 4.3) and access and administration (6.8 versus 4.8) — six judges lean Collaboard and zero lean Conceptboard on those criteria — and on facilitation (6.2 versus 5.8), which leans 2 to 0 with four ties. Conceptboard is ahead on security and deployment (6.5 versus 6.0; three lean its way, three tie) and pricing transparency (6.2 versus 5.7; two leans to Collaboard's one, three ties). Sovereignty ties at 8.0 on six tied judges. Conceptboard's pricing score rests on published tiers and free-plan limits set against 'additional fee' add-ons; Collaboard's 5.7 reflects 'Custom pricing' on the tier carrying single sign-on and self-hosting, and captured pages giving different figures for currency. Judge weightings give 6.3 to 5.3 (workshop facilitator) and 6.7 to 6.4 (works-council member). The leans differ by criterion; that split is the answer.

Choose Collaboard if

  • You need SCIM provisioning documented in depth and tenant-wide audit logs with stated retention: access and administration runs 6.8 to 4.8, with six judges leaning Collaboard.
  • Your boards depend on canvas basics such as sticky notes, freehand drawing and connectors: canvas and content runs 6.3 to 4.5 with six judges leaning Collaboard.
  • You must export board content in named formats or integrate through a documented API rather than a promise of full export with no formats named: integrations and export leans six to zero for Collaboard.
  • You run facilitated workshops: facilitation sits at 6.2 versus 5.8, though only two judges lean Collaboard and four tie.

Choose Conceptboard if

  • Your security review requires certifications: Conceptboard's verdict lists ISO 27001, 27017 and 27018, while the bench found no public information on certifications such as ISO 27001 or SOC 2 for Collaboard.
  • You need published tier prices and concrete free-plan limits for budgeting, rather than 'Custom pricing' on the tier carrying single sign-on and self-hosting: pricing transparency leans 2 to 1 toward Conceptboard (6.2 versus 5.7).
  • You must contract with a German entity and host in Germany on named infrastructure — Conceptboard Cloud Service GmbH of Halle (Saale), IONOS and AWS in the Frankfurt region — noting sovereignty ties at 8.0.
  • Your team weighs security and deployment heaviest: three judges lean Conceptboard and zero lean Collaboard (6.5 versus 6.0).

The Workshop Facilitator

Freelance facilitator and agile coach who runs three to four remote workshops a week for clients from car suppliers to city utilities, most of them with participants who have never used the tool and will not create an account. Builds the board the evening before from their own templates. Needs guests in by link, a timer, anonymous brainstorming, dot voting and a way to pull twenty people to the same frame, and a client who asks where the board is stored before the session starts.

Conceptboard

Criterion by criterion

Canvas, templates & content

Collaboard

An infinite canvas with sticky notes, five digital pens, mind maps, tables, shapes and lines, plus a template library of over 250 English and 350 German templates and organisation-wide custom templates I can save a whole board into — that covers my evening-before build. I found no public information on search across boards, stated limits for very large boards, or AI that clusters or summarises notes with its data use stated; the AI actions the captured pages name are image background removal and sticky-note detection.

Conceptboard

A pre-built template library for workshops, meetings and brainstorming, templates that can be adapted to an organisation and saved as team templates, files and documents embedded on the board, presentation sections, and kanban and timelines on the same canvas — that covers my board-building evening before a session. Object limits are stated (100 objects per board on the free plan, unlimited on paid), but we found no public information on drawing or pen input, search across boards, video embeds or any AI clustering or summarising of notes.

Workshop facilitation & participation

Collaboard

Guests edit without an account ('no login required', 20 on Basic, unlimited on Advanced), there is a timer everyone sees, voting and rating with anonymous votes, an archive the facilitator shares back onto the board, 'attract attention' to pull everyone to one spot, a presentation mode where participants follow the presenter, and lock, pin and hide — my session checklist nearly complete, with participant limits stated per plan. I found no public information on an anonymous mode for the notes themselves, breakout areas, a session agenda, a Zoom app, or an accessibility statement.

Conceptboard

Live moderation, a timer and voting are documented, with a section-to-section presentation walk, the board running inside Teams and Webex meetings, and a genuine accessibility statement audited by Materna in July 2025 under EN 301 549 and BITV 2.0 — partially compliant, with the barriers named. Guests appear only as "temporary access for externals" with no account-free join by link described, and we found no public information on an anonymous or private mode for notes, locking objects, breakout areas or per-session participant limits.

Integrations, import & export

Collaboard

Moving house from Miro, Mural or Conceptboard is documented step by step with an object-by-object mapping, and PDFs import as editable elements — good for migrating my template kits — alongside named apps for Teams, Webex, Jira, Confluence and Nextcloud, a public API with keys and an MCP server. I found no public information on a two-way Jira sync, webhooks, Slack or Zoom apps, or an export of the notes as CSV or an image; export is described as PDF.

Conceptboard

More than a few named integrations: Microsoft Teams, Webex, Confluence with boards embedded by iFrame, Jira tickets reflected directly on the board, and file import from Google Drive, Dropbox and OneDrive. Export is described only as the option to "fully export or delete your data" with no formats named, the API appears in the terms solely as "programmatic access (e.g., APIs)", and we found no public information on Slack or Zoom apps, webhooks, import from other whiteboards or an editable export format.

Sharing, permissions & administration

Collaboard

Roles from owner to reader on boards and in spaces, password-protected and time-limited links with separate expiry values for guests, central sharing policies such as disabling guest invitations or requiring passwords on shared projects, a fully documented SCIM connection, and an audit log across ten categories with user and IP, exportable as CSV and retained 365 days in the German environment or 90 days elsewhere. I found no public information on domain capture, content retention or legal hold, classification labels, or transferring a person's boards when they leave.

Conceptboard

Access rights can be assigned individually per file, board and project with role-based permissions, guest contributors get temporary external access, SAML 2.0 / OAuth 2.0 single sign-on is offered at an additional fee, and Corporate & Government adds audit logs, admin controls and unlimited storage. We found no public information on SCIM provisioning, domain capture, link sharing with expiry or password, retention rules or legal hold, or how boards transfer when a person leaves.

Security, AI controls & deployment

Collaboard

TLS in transit and 256-bit AES at rest, two-factor authentication, a Confidential Cloud that keeps data encrypted even during processing, and deployment options I can put in a client email — on-premises, air-gapped, private cloud, government clouds and a virtual appliance installable in a few hours, with own certificates. On AI the captured pages show it exists and appears in audit logs, but I found no public statement that boards are not used to train AI models, on switching AI off, on which providers process it, or a works-council statement; deletion on termination is stated without a period.

Conceptboard

Encryption is stated precisely (TLS 1.2 with 256-bit AES in GCM in transit, AES256 at rest), a bug bounty with automated and manual penetration tests runs with a summary report available on request, and deployment ranges from a dedicated German server to an on-premises Data Center Edition that runs air-gapped on Kubernetes with customer-controlled updates. Data can be exported or deleted automatically or on request, but the captured pages give no deletion period, and we found no public information on customer-managed keys, data loss prevention, AI controls or a works council statement.

European sovereignty

Collaboard

The contracting entity is IBV in Bonstetten with a registered German company in Lörrach, boards run in Azure Netherlands, Azure Switzerland or the German Open Telekom Cloud under Telekom Deutschland, the data processing agreement is published under Article 28(3) GDPR with subprocessors named by street address, and an on-premises or air-gapped edition keeps every board on the customer's own servers — a straight answer for the client who asks where the board sits before the session. I found no public information on security certifications such as ISO 27001, BSI C5 or SOC 2, the Global environment lists SendGrid in San Francisco for email, payment runs through Stripe, and the privacy policy notes HubSpot may transfer data to the United States while stating it is not used for the German and Swiss hosting.

Conceptboard

The contracting entity is Conceptboard Cloud Service GmbH in Halle (Saale), registered at Amtsgericht Stendal HRB 29184, under German law, with the whiteboard hosted in Germany on named infrastructure (IONOS and AWS in the Frankfurt region, or STACKIT), a data processing agreement linked in the footer, ISO 27001, 27017 and 27018 stated, and an on-premises edition documented down to fully air-gapped operation on the customer's own servers. Subprocessors are listed by purpose but not all with their locations, and the captured pages give different pictures on third-country transfers — one states none occur while the privacy policy names some third-country website providers under EU standard contractual clauses.

Pricing transparency

Collaboard

The tiers are public with their scaling for participants and guests spelled out — Free at $0/month with 3 boards and 5 participants, Basic at $6/user per month billed yearly with 50 participants and 20 editing guests, Advanced at $11.50/user per month billed yearly with unlimited participants and guests — plus EUR prices excluding VAT, a 12-month term and one month's notice. What I cannot compute: Enterprise, the tier carrying SSO, SCIM, audit logs and self-hosting, is 'custom pricing', the German hosting surcharge has no figure, and I found no public information on AI pricing, monthly rates or minimum seats.

Conceptboard

Tiers are public with per-user prices — Starter at 5€ / user / month from 1 user with monthly or yearly billing, Advanced from 10€ / user / month on a 12-month contract for 10+ users, Corporate & Government from 14€ / user / month on 24 months for 100+ users — and the free plan's limits, VAT treatment, payment methods and cancellation terms are all stated. Single sign-on and IONOS or StackIT hosting are listed only as "additional fee" without amounts, Special Plans are "on request", and how guest contributors are counted is not explained, so a full annual cost cannot be computed from the public pages alone.
