The short answer

The lean runs one way: 6 judges to 0 for Miro on seven of seven criteria, and the six weighted totals span 6.4 to 7.3 for Miro against 3.3 to 4.4 for Microsoft Whiteboard. Miro's verdicts score 7 to 8 on facilitation, access and administration, and security and deployment — guests join by QR code or link, and an administrator can block AI outright. Microsoft Whiteboard's best criterion is access and administration at 6 to 7, boards as OneDrive files under retention, legal hold, DLP and eDiscovery. The genuine splits sit inside the sovereignty verdicts: Miro spans 5 to 7, the San Francisco contracting party and US subprocessors against a published data processing agreement with Dutch-law EU Standard Contractual Clauses and EU residency on every plan; Microsoft Whiteboard spans 2 to 4, from the US provider entity to the EU Data Boundary commitment for qualifying tenants.

Choose Microsoft Whiteboard if

  • You need boards to live as files in the creator's OneDrive under your existing retention policies, legal hold, DLP and basic eDiscovery — access and administration is Microsoft Whiteboard's top criterion, scored 6 to 7.
  • Your tenant relies on Microsoft Entra conditional access, audit logging and a tenant-wide on/off toggle — each is named in the access and administration verdict.
  • You must be able to transfer a departing user's boards — named in the same access and administration verdict.
  • You are a qualifying tenant that counts the EU Data Boundary commitment — the higher end of Microsoft Whiteboard's 2-to-4 sovereignty band rests on it.
  • You compare offers on capability rather than a published price — no per-user price is published and pricing transparency is excluded from Microsoft Whiteboard's totals.

Choose Miro if

  • You run sessions where guests must join by QR code or link with no account — Miro's facilitation verdict scores 7 to 8.
  • Your administrator must be able to block AI outright — Miro's security and deployment verdict names that switch and scores 7 to 8.
  • You need SAML single sign-on, SCIM provisioning and Enterprise audit-to-SIEM — named in Miro's access and administration verdict, scored 7 to 8.
  • You need a published data processing agreement with Dutch-law EU Standard Contractual Clauses and EU residency on every plan — the higher end of Miro's 5-to-7 sovereignty band.
  • You rely on integrations — the lean there is 6 judges to 0 for Miro, though the captured pages give different figures for the count (over 160 on one, 250+ on others).

Read this comparison as one judge. Each weighs the same scores by what they care about.

The Public-Sector Project Lead

Leads the digitalisation programme of a state ministry and runs workshops with municipalities, agencies and external consultants. The data protection officer has ruled out US-hosted boards, and procurement asks for BSI C5 or an on-premises installation in the state data centre. Needs guests from other authorities without accounts, a board that works in the browser on locked-down machines, an accessibility statement, and a contract the procurement office can sign.

Criterion by criterion

Canvas, templates & content

Microsoft Whiteboard

The captured pages document a free-form infinite canvas designed for pen, touch and keyboard, with sticky notes, inking and customisable templates, real-time collaboration, and Copilot that visualises, categorises and summarises thoughts; stored board files are indexed for keyword and file-type search. We found no public information on frames, connectors, images or files placed on the board, diagrams, tables or kanban, centrally managed organisation templates, or limits for large boards. That is a usable brainstorming canvas for our workshops, but not yet evidence of the full workshop surface.

Miro

An infinite canvas, sticky notes, a library of 7,000+ templates and serious diagramming — flowcharts, ERDs, UML class and sequence diagrams on a single board, with video and audio walkthroughs embedded — cover our workshop and process-mapping needs well. We found no public information on search across boards, documented limits for large boards, or AI clustering and summarising of notes with its data use stated.

Workshop facilitation & participation

Microsoft Whiteboard

Real-time collaboration is documented, anonymous participants can view and collaborate on a board during a Teams meeting when the admin enables the setting, and the board runs inside Teams meetings, chats and channels, with a read-only mode and an accessibility tools section in the help centre. The captured documentation itself states that sharing with external users is not supported outside a Teams meeting and that Teams guests are not supported in channel tabs, and Teams channel meetings cannot show the anonymous whiteboard share. We found no public information on a timer, voting, private or anonymous note mode, follow-the-facilitator, breakout areas, or participant limits per session.

Miro

This is close to what my workshops with other authorities need: people join by QR code or link from any device with no installs and no account required, and there is a timer, dot voting, polls, private anonymous mode, breakout frames, Bring Everyone to Me, presentation mode through frames, live reactions and locking of sections. The interactive activities are capped at up to 50 participants on Business and Enterprise, and while the vendor says the platform is built to meet enterprise accessibility standards, we found no published accessibility statement or conformance report.

Integrations, import & export

Microsoft Whiteboard

Documented connections are Teams meetings, chats and channels, OneNote, Microsoft Loop components, OneDrive for Business storage, and PowerShell cmdlets for management of boards stored in Azure. We found no public information on export as PDF, image or CSV, a documented REST API for board content, webhooks, or import from other whiteboards — for our procurement office's exit-planning requirement that gap is serious.

Miro

Connections for over 250 tools including Slack, Confluence, Jira, Teams and Google Workspace, a REST API, Web SDK, Live Embed via iFrame, a marketplace and documented Visio and Lucidchart import give a ministry room to wire this into its landscape. The terms confirm export features exist during the term and 30 days after, but we found no public information on export formats, webhooks, or a two-way Jira sync.

Sharing, permissions & administration

Microsoft Whiteboard

Administration lives in the Microsoft 365 estate we already run: tenant-wide enablement, a PowerShell switch for anonymous meeting access, conditional access policies via Microsoft Entra, and transfer of a single whiteboard or all whiteboards to another user before an account is deleted. Boards in OneDrive inherit retention policies, quota, legal hold, DLP and basic eDiscovery, with audit logging of create, modify, share and delete activities. The captured pages state that sensitivity labels and fuller eDiscovery are only planned for future releases, and we found no public information on SCIM provisioning or domain capture, so I stop short of the top band.

Miro

Administration reaches the depth procurement asks for: SAML single sign-on, SCIM and just-in-time provisioning, audit logs with SIEM integration, admin roles split into company, user and content scopes, data classification with guardrails that stop high-sensitivity boards being shared publicly, retention automation and a Discovery API. Most of this, including the audit logs, sits in the Enterprise plan, and we found no public information on domain capture or transferring a leaver's boards.

Security, AI controls & deployment

Microsoft Whiteboard

The captured privacy statement says Microsoft may use your data to develop and train its AI models, and we found no public information on an administrative switch to turn Copilot in Whiteboard off or on which AI providers process board content — for my data protection officer and our works councils that is a stop sign. SOC 1, SOC 2, ISO 27001 and EU Model Clauses are listed, DLP and basic eDiscovery apply to OneDrive-stored boards while Azure-stored boards are stated not to support them, and system-generated logs are pseudonymised using encryption, masking, tokenization and data blurring. We found no public information on encryption of board content in transit and at rest, deletion periods for boards and accounts, an on-premises or dedicated-tenant edition, or a works council statement.

Miro

Encryption in transit and at rest, customer-hosted keys via AWS Key Management Service, annual independent penetration tests, sensitive-data discovery and unusually granular AI governance — administrator blocking, provider and model choice, own API keys, AI audit trails streamed to our security tools — are documented. But the key AI controls and key management are paid Enterprise add-ons, and we found no public information on an on-premises or private-cloud edition, a stated deletion period, or a statement for works councils.

European sovereignty

Microsoft Whiteboard

The declared provider is Microsoft Corporation of Redmond, and the imprint states that Microsoft Deutschland GmbH is not the provider and not authorised to receive service for it — a US contracting entity that procurement cannot reconcile with its BSI C5 or on-premises requirement. The EU Data Boundary does commit Microsoft to storing and processing Microsoft 365 customer data in named EU and EFTA datacentre countries for qualifying tenants, but the same pages acknowledge limited circumstances where customer data continues to be transferred outside the boundary and exclude Multi-Geo customers, while the privacy statement reserves storage and processing in the United States and any other jurisdiction where Microsoft or its affiliates operate; subprocessors are named only generically as affiliates, subsidiaries and vendors, and boards created on Surface Hub or Teams Rooms devices are stored in Azure. No BSI C5 and no on-premises edition are documented anywhere I read.

Miro

The contracting entity in the standard terms is RealtimeBoard Inc. dba Miro of San Francisco under California law and San Francisco venue — the imprint names a Berlin GmbH and an Amsterdam EU representative exists, but the data importer in the data processing agreement is the US company. EU data residency is available on every plan on AWS, subprocessors are listed with their locations, and ISO 27001 and SOC 2 are stated; the named AI, captions, email and support processors are all in the United States, and the privacy policy warns that collected data may be transferred to and processed in the United States — with our data protection officer that ends the conversation, and we found no public information on BSI C5.

Pricing transparency

Microsoft Whiteboard

The captured pages show only a one-month free trial of Microsoft 365 for home or Business Standard that automatically converts to a 12-month paid subscription with a credit card required and cancellation possible during the trial. We found no public information on a price per user or tier for Whiteboard, which tiers include it, how guests, viewers or external participants are counted, or annual versus monthly billing — my procurement office cannot compute an annual cost from these pages.

Miro

Tiers are public with exact prices — Free at €0, Starter at €8/month per member, billed yearly, Business at €20/month per member, billed yearly — and the plan comparison unusually details inclusions such as 50 AI credits/member/month and 2,000 MCP calls per day. Enterprise is "Custom pricing—from 30 members", the add-ons we would need (key management, classification, eDiscovery, premium support, the AI blocking controls) carry no prices, and we found no public information on how guests or viewers are counted.
